Using Folder Permissions in Signature 365

Scenario

You wish to limit access to your folder structure within Signature 365 by preventing your teammate users from modifying Signatures, Campaigns or Disclaimers.

Solution

Signature 365 includes Folder Permissions functionality, which when combined with custom granular roles, allows you to restrict user access to specific folders within the portal.

Folder Permissions are set to Everyone by default and must be configured by a tenant administrator.

Note
Folder Permissions cannot be controlled by non-administrative users. The Folder Permissions function cannot be assigned to non administrative users with custom roles.

When combined with custom roles, Folder Permissions allow granular access to be granted to specific components - as an example, it is possible to grant a marketing user access to only the campaigns component within a folder by combining folder permissions and a custom role.

To set permissions on a folder, simply right click on the folder, and select the "Permissions" option in the drop down menu:

The following options can be set for folder permissions:

Inherit - This option will inherit all permissions from the parent folder

None - Only administrators can access this folder. Please note: Administrators always have access to all folders

Everyone - All teammates will be able to access this folder

Specific Teammates - only selected teammates will have access to this folder

When folder access is restricted, users without access to the folder will still see this displayed, but the folder will be shown greyed out and locked, to indicate they do not have access to this.
